Focom Housekeeping Newsletter
As 2016 starts to draw to a close, sometimes this is a good time to have a good clear up and sort through our desks. All those nagging post-it notes of things that we keep meaning to do but other things take over.
LJ also needs a bit of a clean-up from time-to-time. If you go to our Support Blog, we have provided documents for all the following procedures, together with an overview document. You can access just the LJ How To... documents here. All these documents can be found under the Housekeeping heading.
Your standard network back-up will not be able to back up LJ as this database is always open and in use. Back-up routines are set-up within LJ on a daily, weekly and monthly basis as default and then these files can then be included within your standard back-up. Now is a good time to check that the back-ups are being created, where they are created and are they included in your standard back-up routines.
At some stage you may need to restore a backup: for example, you may be asked to run a report on historic data that is no longer kept live within LJ.
Deleting/Cleaning Up Extensions
Your LJ licence allows your system to log a finite number of extensions. If you exceed that number, LJ will lock and prevent you from running reports; it will, however, continue to log all data. Once the number of extensions has been reduced, or the licence increased, LJ will unlock and allow reports to be run. This How To... allows you to remove any unwanted / Unused extensions or how to purchase additional licences.
How Much Data is Kept 'Live'?
When LJ was initially setup, you will have decided how many days data is kept “live” on your system. On the first of each month LJ will look back the specified number of days and delete any data that is older. This How To... document shows how to see how many days are kept 'Live' and how to change this.
Deleting Old Reports
When LJ was initially setup, you will have decided how many days generated reports are kept before they are automatically deleted. On the first of each month LJ will look back the specified number of days and delete any reports generated earlier, or you can delete reports manually. This How To... document shows how to see how many reports are kept 'Live' and how to change this setting.
In LJ the only way to Tidy Groups is to reimport your structure.
If you still have the original CSV file you can make amendments to that and reimport it. If you don’t have it, you can Export the list of extensions, make the amendments you want to the exported file, and then reimport it. This How To... document will show you how to Import / Export the lists and how best to update them.
