Ministerial Records

How to manage records of Ministers and other Members of Parliament

Are Ministers public officers and do they create public records?

PROV receives requests like this from time to time, so we have created a new Topic Page to clarify things.

Details can be found here.

Digital Archive Program

A VERS Initiative

PROV is currently in the process of updating the now fourteen-year-old Digital Archive to ensure that the collection continues to be secure and accessible to both government and public users.

Hardware, software, processes and workflows are all being upgraded and transformed. To read more about the Program, see the webpage here.

Managing Digital Records into the Future

Findings from the digital appraisal and disposal research project

PROV recently undertook a Digital Appraisal and Disposal Research Project to investigate techniques and initiatives that could be implemented to help manage growing volumes of digital records.

Findings and recommendations to come out of the project can be found here.

New RDA - Health Practitioners Regulation

PROS 18/01

A new RDA to authorise the disposal of records of the National Registration and Accreditation Scheme for Health Practitioners is now available.

Agencies covered by the RDA are:
  • The Australian Health Practitioner Regulation Agency (AHPRA);
  • All National Bodies and Boards included in the Scheme;
  • Any national, state or territory committee or board to which a National Board has delegated some of its decision making power.
PROS 18/01 can be found here.

19th Century Records at Risk

Project findings

PROV recently surveyed agencies in relation to holdings of 19th century records. This project was a follow-on from the Physical Records Holding survey undertaken in 2017.

The survey results help to identify quantities of 19th century records still in agency custody and assists PROV with planning of future transfer activities.

A summary of the project findings can be found here.

Government Services Work Program

What we do

Government Services at PROV undertakes a variety of programs. Three in particular are our RDA Program, Digital Transfers Program and Physical Transfers Program.

Further information on current projects can be viewed here.

Updates from the Standards & Policy Team

Standards and Specification Review
Thank you to everyone who provided feedback on the proposed changes to the Strategic Management Standard and Specification. The documents have been changed accordingly and will be published in the near future.
A proposal for merging the VERS Standard and the Capture and Control Standards and Specifications is under development and will be released for feedback in the coming weeks.

Recordkeeping Assessment Tool
The procurement process for selecting a supplier to build the Recordkeeping Assessment Tool is nearing completion. Content will be published shortly so that agencies can familiarise themselves with it, while the actual assessment and reporting tool is built.

Archival Snapshot: The Great Rate Gaffe

1901 Bulleen Rate Book

An interesting Rate Book has made it's way into our Collection. The Bulleen Rate Book from 1901 was being digitised by our Volunteers when they noticed that a number of pages had been pasted over with sketches and photographs.

To view more of the arts and crafts contained in the Rate Book, along with the full story, see our blog post here.
